Indigenous Education Secretary
The North Okanagan-Shuswap School District No. 83 invites qualified individuals to apply for the Indigenous Education Secretary position at the District Education Support Centre. This is a 28 hours per week, 10-month position for the period of September to June inclusive when schools are in session and students are in attendance.

THE DISTRICT:
The North Okanagan-Shuswap School District is a widely dispersed district which includes the five major communities of Salmon Arm, Sicamous, Sorrento, Enderby, and Armstrong. The school district provides educational support for 5,900 K-12 students in twenty-two schools with a professional staff of more than 1,200 employees. The North Okanagan-Shuswap School District is committed to enhancing a positive work environment for staff and a dynamic and supportive educational experience for students. This position heavily serves the Armstrong and Falkland areas, as well as other communities within the district.
JOB SUMMARY:
With minimal direction, the Secretary performs secretarial, clerical and reception duties for the
Indigenous Education Department – inclusive of confidential materiel and/or of a sensitive nature, as well
as provides clerical support and liaison to department staff. The position supports the delivery of
Indigenous Education Department services to schools by working cooperatively with other staff, parents,
and First Nations Bands.

DUTIES AND RESPONSIBILITIES INCLUDE:
• Performs all administrative, secretarial and clerical services as required by the Indigenous Education District Principal. Works with district secretaries for other departments as necessary.
• Receives and responds initially to all incoming enquiries and requests for information and support from school administrators, Indigenous Education staff, parents, FNEC, the local First Nations Bands, and school clerical.
• Provides support, training and communication to program staff with Admin/Teacher Connect, CIMS, Atrieve, and MyEd BC. Updates the program’s Staff Handbook.
• This position maintains a variety of files and records, including enrolment statistics and produces reports using a variety of computer programs as required to meet Ministry and School district data needs and standardization.
• Uses a variety of graphics and publishing software to produce newsletters, brochures, surveys, forms, and curriculum documents.
• Updates Indigenous Education social media platforms by reporting out on current events, info sessions, etc. Maintains Indigenous Education website. Takes photos and video as necessary.
• Maintains Indigenous Education Department’s budget and provides general accounting and filing for all Department staff including mileage, expense claims and BMO reconciliation. Assists with preparing the annual staffing and budget plans.
• Preparation and ongoing maintenance of various confidential School District databases including Band Consents within Local Education Agreement mandate.
• Organizes meetings, workshops, and events throughout the school year as well as Indigenous Graduation celebration. Helps to prepare the Indigenous Education annual calendar.
• Supports school administrators and clerical with the input of Indigenous Education program codes for all self-identified Indigenous students in MyEd, confirming 1701 data entry and nominal roll.
• Take minutes of FNEC and Staff Meetings, as well as Committees involving Indigenous Education. Prepares and distributes agendas. Schedules and coordinates meetings. Assists with the implementation of action items and committee decisions/directions.
• Compile and process supply and resource ordering for the Indigenous Education Department.
• Coordinates the Knowledge Keeper Program (and Contracts) and District Cultural Presentations.

QUALIFICATIONS:
• Completion of Grade 12 plus a one year post-secondary secretarial or office assistant training at a community college or technical school including computerized accounting training at a level required for district applications.
• Working knowledge in the Local Education Agreement and the Aboriginal Education Enhancement Agreement.
• Demonstrates cultural sensitivity and cultural knowledge of the Indigenous communities.
• Demonstrated ability to interpret and present statistical information using graphs, charts, and web-based modalities.
• Two years of recent office experience in a variety of secretarial positions including specific experience with overall responsibility for managing a general office, department or school office.
• Superior judgement, organization, decision making, interpersonal, and communication skills. Demonstrated ability of defusing difficult and sensitive telephone calls and/or emails and handling of confidential information.
• Demonstrated keyboarding skills of 60 words per minute.
• Demonstrated ability to operate computers and application software such as Microsoft Office and ability to access and effectively use a variety web-based applications and Outlook.
• Demonstrated mastery of Business English and Business Math.
• Demonstrated competence in electronic bookkeeping and department budget monitoring.
• Demonstrated ability to schedule, plan, coordinate relevant committee meetings with thorough knowledge of specific technical terminology for report writing formats.
• Physical ability to perform light lifting.
• Valid BC Class 5 Driver’s License.
• Additional consideration will be given to candidates with Indigenous ancestry asset.
